With financial support from this fund, you can work together with fellow students to create an activity that contributes to the development of your soft skills. Examples include a company visit, workshop, networking event, competition or challenge, excursion, or other events.
Whatever you organise must be accessible to HMSM students. This way, we can create opportunities together to learn from one another, inspire each other, and strengthen the HMSM community even further.
By soft skills, we mean 21st-century skills such as: leadership development, teamwork, communication skills, problem-solving competencies, digital skills, an international mindset and intercultural competencies, sustainability and socially responsible behaviour.

What the fund offers
Good ideas deserve the opportunity to be put into practice. The fund provides a financial contribution to help cover part of the organisational costs of activities and make them accessible to a wider group of HMSM students. You can apply for up to 50% of the total budget, provided there is at least one additional source of funding.
The contribution is intended for essential costs, such as speakers, venue hire, materials, or travel expenses. Food and beverage costs are not eligible, although they may be a part of the activity. These expenses must remain reasonable and proportionate to the essential costs.
Criteria
The budget allocation is based on the number of participants, the added value and quality of the activity, and its contribution to the development of soft skills. Activities that reach more students generally have a greater impact and therefore have a higher chance of receiving funding.

Compliance
Activities must comply with all HMSM and Zuyd regulations, including the Code of Conduct and the Code of 10.
Co-funding
- The fund covers a maximum of 50% of the total budget.

At least one additional source of funding is required, such as ticket sales, participation fees, membership fees, or sponsorship.
Impact on HMSM students
- The level of funding is related to the number of HMSM students participating in the activity.

*For each application round, the Advisory Board of the Foundation HMSM (LINK) makes a budget available. The selection committee assesses applications against the established criteria and allocates the available funds to the initiatives that best meet these requirements.

From application to event
If your application is successful and you receive funding from the fund, we also expect you to actively contribute to making the impact of your activity visible.
Selection
- The Secretary of the Foundation reviews each application to ensure it meets all requirements and criteria.
- For each application round, a fixed budget is determined by the Advisory Board of Foundation , based on the funds available. Any unallocated budget will be carried forward to the next round.

Promotion
Participants must clearly recognise that the activity has been made possible, in part, through the support of Foundation HMSM.
- Ensure that Foundation HMSM's support is clearly visible in the promotion of the activity by including the name ‘Foundation HMSM’ and the HMSM logo in all activity-related communications and promotional materials, both online and offline, across all promotional channels.
- During or after the activity, publish a post on your personal LinkedIn account and tag the Hotelschool Maastricht account.
- For all activities, the Foundation roll-up banner must be displayed prominently and be visible to participants. In addition, the fund must be acknowledged during either the opening or closing of the activity. Any media requests must always be coordinated in collaboration with the Fund Coordinator.
- Within two months after the activity has taken place, you must submit the financial statement and a short report, consisting of at least 200 words and accompanied by photographs suitable for use by Foundation HMSM and HMSM on channels such as the website and social media.
All marketing and communication materials must be submitted in advance for review and approval by a member of the Development & Relations team.
If the Foundation receives insufficient visibility in the promotion of the activity, the awarded contribution will be reduced by 25%. If no promotion of the Foundation takes place at all, the contribution will be reduced by 50%.
Specific requirements
Changes or cancellation of the activity
If the activity is cancelled, any funds not yet disbursed will automatically lapse.
In the event of cancellation, the organising group is responsible for recovering any refundable costs and repaying these amounts to Foundation HMSM.
Any substantial changes to the format, budget, location, or objectives of the activity must be reported immediately by email.
Unauthorized changes may result in the withdrawal of the grant.
Foundation HMSM reserves the right to reduce, suspend, or withdraw the grant if the revised activity no longer meets the funding criteria.
Payment structure
The fund will pay a maximum of 50% of the awarded grant in advance. The remaining balance will be paid after the activity has taken place and a complete financial statement has been submitted.
All expenses claimed must be supported by original receipts or invoices and submitted through Zuyd's Cashback system.
- Receipts must clearly show the date, supplier, and purchased items.
- Expenses without supporting documentation will not be reimbursed.
Consent for photographs and videos
All photographs or videos included in the final report, the organisers are responsible for obtaining consent from all individuals depicted for their use in communications and reporting to Foundation HMSM.
By submitting the report, the applicant gives Foundation HMSM permission to use the submitted photographs and text, with appropriate credits where necessary, in communication channels such as social media, newsletters, and the website.
Non-eligible activities
The following activities are generally not eligible for funding:
- Activities that form part of the curriculum and/or award academic credits.
- Activities with a budget exceeding €50 per student.
- Incomplete applications or activities that do not meet the funding criteria.
- Activities that are not organised by or for HMSM students.
- Individual activities, such as participation in workshops, competitions, or career events.
- Social activities, such as parties, receptions, lunches, dinners, and drinks events.
- Activities supporting charitable causes other than Foundation HMSM.
- The fund does not subsidise goodie bags, merchandise, or excessive luxury provisions.
